This section is designed to answer frequently asked questions about using our DiveBooking web application.

We understand that navigating a new application can be confusing, so we've compiled a list of frequently asked questions to guide you. If you can't find the answer you're looking for, feel free to reach out to our support team!

DiveBooking? What for?

    In short, with DiveBooking you can:
  • Create and update all the daytrips you sell, run by yourselves or other partners, with their respective weekly schedule.
  • Create and update all the liveaboards you sell, run by yourselves or other partners, with their respective season schedule.
  • Create and update all the dive courses you sell, taught by yourselves or other partners.
  • Open all daytrips and liveaboards needed for any valid date, add all divers and non-divers until max capacity.
  • Add instructors and divemasters to any open daytrip and liveaboard, assign them to group of divers or students.
  • Print all necessary lists for the daytrips and liveaboards such as tour leader lists, divers lists, equipment lists and transfers lists.
  • Bill your pax independently or grouped, edit receipts after partial or total payments.
  • Get reports for sales, costs and margins for any activity from date to date.
Operations

How many bookings can I manage?

This depends on your plan. DiveBooking computes in real time the number of daytrips, liveaboards and dive courses within 1 month and will not let you create another booking if you reached your limit. You will be warned in the app before you reach the limit to let you upgrade your plan before been stuck.

If you need to upgrade your plan during a month you will be charged only the difference of price. The bright side is that your business is growing up and we'll be happy to be partner of your expansion.

How many bookings can I manage per trip?

You can setup each daytrip and liveaboard with maximum occupancy. The occupancy of each open trip will be displayed in real time and you will not be able to add more booking when the limit is reached.

Can I work with other dive centers?

Yes of course. You can manage partners' daytrips and liveaboards the same way your manage yours. The only limit is the max capacity of pax and guides that you obviously cannot control in real time.

DiveBooking gives you the oportunity to send formatted emails to your partners with all pax details and equipment needed.

Can I update a booking?

As long as a trip is not closed you can change everything in any booking of this trip. You can re-open a trip if needed but you will not be able to update a booking that is already invoiced.

Can I work with agents?

Yes you can. Whether they are travel agents, hotels or other dive centers you can manage the pax they send to you and select if you bill them or they bill you, using specific commissions rates.

Can I give special discounts to my pax?

Yes you can set a discount for each part of a trip for a customer (diving, equipment, transfer). And DiveBooking will remember these parameters for the next dive your pas will book.

Can I charterize a boat?

Yes you can charterize a boat for a daytrip or a liveaboard. Then you will select the pax to bill.

Can I have different prices for liveaboards based on accommodation?

Yes each liveaboard can be customized with prices for 3 different cabins, for divers and non-divers.

How can I manage my transfers?

In the DiveBooking settings you can create and update all places needed for pickup/drop off your pax, including the map location and the time of pickup. For each booking you can select if a pickup/drop off must be done and where. DiveBooking will then compute all pickups and drops off to be done for one day. You can then assign each transfer to different vehicles and print the transfers lists for each vehicle.

Can I use DiveBooking on different devices?

Yes you can use our web application on many devices at the same time (computers, tablets, phones) as long as they are connected to internet.

How many users can I create?

There is no limit to the number of users you can create. We suggest you create a user for every staff whi will use DiveBooking, each user with specific access rights.

I have specific information that I need to enter. How can I do it?

You can set up 10 customs fields for your customers and instructors/divemasters. Each field can be a text box to enter any value or a checkbox. Then you can link 5 of these custom fields to the booking forms.

Example: You need to register the last date of Covid vaccine of your pax and show it in any booking. Just label one of the custom field 'Covid vaccine' and link it to a custom field of the booking form. Easy like that!

Billing

Is it easy to make my invoices?

Easy like a few clicks of your mouse or taps of your finger! Go to billing, to see all items not billed yet, select the items you want to bill and click a button

Can I group customers on one invoice?

Yes you can select items from different pax. DiveBooking will ask which pax's name to put on the bill.

How to make invoices for my agents?

Same than for direct customers, select the items to bill and click a button.

Which currency can I use?

You will set up in your profile the currency you want to use in DiveBooking and the number of decimals to show.

Can I reprint an invoice?

Each invoice is generated in real-time and can be printed, re-printed or downloaded in PDF format anytime.

Can I change an invoice?

You can cancel an invoice. Then all items from this invoice are free to be billed again with a new invoice number.

Can I print a receipt?

Every time you record a payment a receipt will be generated. Like the invoices, receipts can be re-printed at will.

Can I customize my invoices?

Standard invoices will show all necessary legal informations.

Contact us if you need a personalized invoice.

If you choose yearly payment for your DiveBooking license we offer you customized invoices and receipts.

Support

Is there a user's manual?

On each screen of the DiveBooking app you have access to the online manual.

The online manual is build for an easy handling of the application. Just follow step by step the settings.

What if I get a problem?

  1. Contact us first by email with details of your problem. Attached screenshots will help a lot.
  2. We answer you ASAP with a solution to your problem.
  3. If needed we'll see what's happening on your side using Team Viewer application on a PC or Mac.
  4. If a bug is detected on our side, we'll fixed it in a matter of hours.

Are there updates?

We constantly work to offer more with DiveBooking. You will see updates coming from time to time.

Are updates free?

Yes, updates are included in your plan.

Miscellaneous

When do I need to pay?

If you opt for a monthly plan, payment must be received at least 3 days before the end of the previous month (example: August 29th to activate September).

If you opt for a yearly plan, payment must be received at least 3 days before the end of the current year (example: February 26th 2023 to activate the period March 2023 - February 2024.

How will I receive my invoice?

You will receive your invoice by email 15 days before the end of your monthly or yearly plan. Your invoice will also be available in your DiveBooking account.

How can I pay?

You can pay your plan by bank transfer or Paypal. If you opt for payment thru Paypal we'll add a 4.5% fee.

Can I get personalized documents?

DiveBooking comes with standard documents that might not fit your exact needs. We can personalize any of the following documents:

  • Tour Leader lists for daytrips
  • Tour Leader lists for liveaboards
  • Divers lists for daytrips
  • Divers lists for liveaboards
  • Equipment needed on a daytrip or liveaboard
  • Transfers lists
  • Invoices for direct customers
  • Invoices for agents
  • Payments receipts
